Rules and Regulations
 
 
Stage: Registration
1. A team can only have a maximum of TWO people.
2. The same person cannot sign up for more than ONE team.
3. If an individual is in more than one team, he or she will be disqualified. In this case, the members in all impacted teams will also be disqualified.
4. Participants have to be a resident or a citizen of ASEAN countries.
5. Participants must be 18 years old or above.
6. Epson POS Developers who register will be entitled to Epson exclusive merchandise, subjected to stock availability.
7. The team numbers shall be issued within five (5) working days after the submission of the concept paper. Any team which does not receive a team number by 6 February 2018 is deemed to have failed the registration and cannot participate in the competition.
8. No changes of team members are allowed after registration is submitted.
9. Organisers reserve the right to cancel, postpone or change the date of the Epson POS Challenge.
10. Organisers have the right to suspend, amend or modify any of these rules, terms and conditions, judging criteria with or without prior notice.
11. In the event that there are insufficient participants, Epson reserves the right to amend the competition structure.
 
 
Stage: Launch of Preliminary Round
1. Participant can use any free-to-use third party library under the license type GNU GPL.
2. Existing corporate intellectual property and unauthorised materials from the web are not allowed to be used as competition material.
3. ePOS SDK will be the preferred tool, although there is no restriction on the SDK used between Epson printer and the application.
4. Participating team can start to prepare the concept paper once they have received the team number.
 
 
Stage: Preliminary Round Submission
1. Only .doc, .docx or .pdf format is accepted.
2. Document name has to be in this format “TeamXXX_POSChallenge2018” where XXX is the team number.
3. Document has to be written in English.
4. The content of the document should include the following:
a. Application Name
b. Summary of Application Capability and Uniqueness
c. Description of Functionalities
i. Core Features
ii. Other Functionalities
d. Integration with Epson Products
i. Required Printer Model and Quantity
e. Mock up/UI Design
f. Application Workflow
i. Usage and Application to Real-life Situations
g. Basic Technical Design
i. Application Architecture Design
 Data Flow Chart (Data Generation, Data Storage, Data Communication)
ii. UI Flow Diagram
 Tools for Usage
iii. Basic Application Setup Diagram
Participants are free to add new content apart from what is suggested above.
5. Document size should be less than or equal to 4MB.
6. Participants are allowed to include images in the documents as long as it doesn’t exceed the maximum size.
7. Submissions which are submitted after the deadline will not be considered and shall be deemed as a non-submission.
8. Each team may make only one submission.
9. The organisation shall not be responsible for any loss of submission or data corruption.
10. Participants are advised to submit earlier to avoid unsuccessful submission.
 
 
Stage: Finalist Selection
1. In the event where the total number of submission falls below the minimum required number, the organiser reserves the right to select only the submissions which are deemed as qualified.
2. Shortlisted teams for the final round shall be provided up to a period of three (3) days, by 5 March 2018, to confirm their participation for the Epson POS Challenge via email.  Any extension to the submission deadline shall be based upon Epson’s discretion, on a case-by-case basis.   
3. The selection criteria will be based on the following:
a. Impact on Current Industry
b. Creativity
c. Application Design
d. Execution Plan
e. Integration with Epson products
4. All decisions made by the organiser are final.
 
 
Stage: Announcement of Finalist
1. In the event that a shortlisted team chooses not to participate in the final round, Epson reserves the right to select a replacement for the finalist.
2. A shortlisted team will only be considered a finalist if they adhere to the rules and regulations and do not opt out of the final round.
 
 
Stage: Launch of Final Round
1. A shortlisted team has to complete the project from 6 to 31 March 2018.
2. Finalist who decided to opt out during this period will be considered as withdrawn from the competition and will not be entitled to any prizes.
 
 
Stage: Final Round Submission
1. A shortlisted team have to submit the following files:
a. Compile application demo (apk, html, ipa and etc). The name should follow the application name stated in the concept paper.
b. Zipped file of the whole project folder includes source code. The name should be teamXXX.zip where XXX is the team number.
2. Finalists are advised to submit their files at least few hours before cut-off time at 2359 hours to avoid heavy network traffic for uploading huge file.
 
 
Stage: Final Round Presentation and Prize Ceremony
1. All finalists are required to attend the presentation session.
2. At least one (1) team member of the finalist team is required for the session.
3. Finalists shall be required to make their own transportation arrangements to the event venue.
4. Finalist will take turns to present their work which includes the following:
a. Concept and how it impacts the industry
b. Workflow of the application
c. Live demo
d. Q&A
5. Sequence of presentation is random.
6. Finalists have a maximum of fifteen (15) minutes for the presentation.
7. Presentation venue will be announced on a later date.
8. In the event where the finalist team cannot make it for the presentation, they may be disqualified from the competition.
 
 
Outcome
1. Organisers have the final decision when it comes to all matters of dispute arising from the event or the prizes.
2. In the event that there is a tie between two teams, additional criteria may be applied by the organisers as they deem fit.
3. In the event that there is no one submission with the minimum functionality of an application in the final round, there will be no winner concluded, but all finalist teams will be entitled to receive consolation prizes.
4. In the event that there is no winner after judgment of the main criteria, the secondary criteria, which would be decided by organisers as appropriate, may be used to determine the winner.
 
 
Licensing
1. Epson owns the right to publish, redevelop, distribute and showcase the final applications which are developed in the final round as demo applications.
2. Finalists will provide a perpetual license of all their works as required by and on such terms determined by Epson. This is condition for qualification as a finalist. If a finalist fails to provide such a license, they will be deemed disqualified.
3. Epson owns the right to showcase the winning entries of the participants for publicity purposes.
 

Prizes
1. Prizes won are non-transferable.
2. Prizes are shared within the team and distribution is up to the team’s discretion.
 

Intellectual Property
1. All created works of the application are owned by the candidates; Epson does not own the intellectual property.
